Booking an Island Expeditions Trip

Reservation Process

1. If you are not yet registered as an Island Expeditions reseller, please go to our Agents registration page, and complete our online registration or call us at 800 667 1630 for assistance.

2. Contact IEC by telephone or e-mail to check for space and trip availability.

3. Download our Trip Registration form. Have your clients fill out the appropriate sections and fax it back to our office.

Regular Season Registration form
Holiday Season Registration form (Trips departing Dec 15 - Jan 2 each year)

4. A $200 deposit per person is required to confirm the reservation and can be placed using your client’s VISA, MasterCard, or an agency cheque (payable to Island Expeditions Co). Final payments are by agency cheque only.

Confirmation and Pre-Trip Information

5. Once the registration has been confirmed by our office (i.e. the deposit has been receipted and your confirmation invoice received by you) we will email you copies of the "Essential Information" planning package which you can provide to your clients.

6. Once you have arranged international flights, please fax or e-mail a copy of the full flight schedule to our office. Please be sure to remember our Day '0' arrival when organizing clients flights.

7. Pre & Post-trip Arrangements:

Local Flights: Island Expeditions often uses Maya Island Air to help transport guests around Belize. If your client requires a flight before or after our trip, you can contact the airlines or we can assist with those arrangements. Our trips Paradise Islands and Coral Islands & Mayan Caves finish in Dangriga and transportation back to the International Airport or Belize City are not included in the trip cost. Your clients can take the bus, which does not require reservations and costs approximately $12.00 USD or they can take a short flight. IEC can make the appropriate reservation with Maya Island Air and add this fee to your client’s bill. When booked with us this flight is non-commissionable and costs approximately $65 USD. Once the reservation is made and paid for, we will issue a PDF flight voucher via email, which you need to print and provide to your client. They should carry this with them to Belize as proof of payment for this service. Alternatively, you can make the reservation with Tropic Air or Maya Island Air by visiting their web sites (www.tropicair.com & www.mayaislandair.com).

Final Payments, Medical Forms, and pre & post trip arrangements are due:

• 60 days prior to departure
• 90 days prior to departure for trips between Dec 15-Jan 02
  • The Travel Information, Medical Form & Waiver as well as the Pre-Trip Information Package can be accessed from the downloads section.

If booked within the 60 days please provide full payment as soon as the trip has been confirmed and the pre-trip information has been issued. The final payment must be made by Agency Cheque only.

8. Please ensure that IEC has your client’s telephone number. As a courtesy, we will contact them 1 week prior to their departure to answer last minute questions and wish them well on their adventure. This is the only time we will need to contact your client directly.

In the unlikely event Island Expedition Co. may need to cancel a trip due to insufficient participants, the client will receive a full refund of the land-portion of their trip and we will endeavor to use our in country expertise to assist you with making alternate arrangements for your clients if needed.
